Our client’s internal communications and training materials were being created and localised separately to the product materials. This led to long lead times, poor cost-effectiveness, and inconsistencies between the product and the training materials. We were asked to take over management of all these materials’ translation and localisation. The challenge was that existing workflows were stopped immediately with no existing knowledge and process handed over, leaving us to create all content from scratch, and align to the brand’s style and tone rapidly.
Within a three-week onboarding plan, we took on:
- Content creation
- Multimedia authoring
We created hundreds of assets each week, including PowerPoint presentations, emails, training videos and updates to internal web sites for 8 separate internal managers, with a 2-day turnaround deadline and once approved, localisation into 6 languages to be completed within 24 hours, then published within 2 hours.

We did it by creating a small, dedicated onboarding team, with a mix of expertise in technical writing, editing and localisation, working closely with the client at the creation stage to understand their style and tone, and documented them with style guides to make the knowledge base easily transferable for future flexibility in capacity. Dedicated translators and reviewers worked on demand, with reviews and approvals made in context within our review tool to provide transparency and version control. We also set up a global team to meet the 2-hour deadline for publishing.
Leveraging the product content we already held, we increased the quality of content and saved costs, and through offering a single global contact for all required services, we cut lead times from 10 to 4 days.
